For Admins: myLexia Setup and Rostering Options

Overview

This document explains the options for setting up and managing staff and student accounts and class rosters in myLexia. 

  • Students must have accounts set up for them in myLexia in order to log into Lexia programs  (Lexia®️ Core5®️ Reading, Lexia®️ English Language Development™️, and/or Lexia®️ PowerUp Literacy™️).  

  • Educators must have myLexia accounts so that they can monitor student progress and access reports.

Applies to: Educators and Administrators who have myLexia District Admin access, and some Educators and Administrators who have School Admin access to myLexia.

When planning setup and rostering tasks such as creating accounts, school admins in a district should coordinate with their district administrator to avoid creating duplicate accounts.

Lexia offers both manual and automated rostering options, detailed below. For more information about any of the options, see the “More Info” column in the table.

Option #1:

Clever Secure Sync ingests roster data from your SIS, monitors your roster information and updates Lexia with any changes.

District and school customers who want to use Clever for Single Sign On (SSO) with Lexia and other EdTech vendors.

Option #3:

OneRoster Automated Import

Configure a nightly SFTP transfer of .csv files using the OneRoster v1.1 format (bulk processing only).

  • Districts who want to use ClassLink for Single Sign On (SSO) with Lexia and other EdTech vendors.

  • Districts with student information systems who can invest in the initial setup process, and who want to use an industry standard format.

Manual Rostering Options

Option #1: Manual Creation in myLexia

How do we manually create new accounts and classes in myLexia?

With this method, you manually create staff accounts, student accounts, and class rosters one by one in myLexia.com.

  • Staff with Teacher*, School Admin, or District Admin myLexia accounts can create student accounts and classes. 

  • Staff with School Admin or District Admin myLexia accounts can create staff accounts.

How do we manually manage existing accounts and classes in myLexia?

You manually manage data by making changes in myLexia.com.  If you use this method, be sure to follow Lexia’s recommended maintenance guidelines before the start of each school year:

Recommended for...
  • If you have a small number of students and staff who will use Lexia programs.

  • If you would like teachers to create/manage their own class rosters in myLexia*.

*If you prefer that teachers not be able to create student accounts, there is a site setting in myLexia that allows admins to restrict teachers from adding new student accounts.

Option #2: Manual Spreadsheet Import

How do we create new accounts and classes with an upload?

Admins prepare spreadsheets with student and staff information, and import the spreadsheets into myLexia.com. This method allows you to create multiple student or staff accounts at one time. You may also include (optional) class information in the spreadsheet. If you include matching class names in the Class column of both the staff and student imports, it will create and roster classes.

How do we manage existing accounts and classes after we upload?

You can use additional imports, or manually make changes to accounts in myLexia. 

  • Use additional spreadsheet imports after your initial import to add or modify student or staff accounts or classes.

  • Manually manage data in myLexia through Lexia’s recommended maintenance guidelines: Rostering Maintenance in myLexia

Since the manual spreadsheet import does not archive or delete staff, students, or classes, you will need to archive or delete manually in myLexia.

Recommended for...
  • School and small district customers where the student population or intended Lexia users are generally consistent throughout the year

Automated Rostering Options

Option #1: Lexia Automated Import

How do we create new accounts and classes with Lexia’s Automated Import?

With this method, you manage your own automated imports by configuring a nightly SFTP transfer of .csv files with student, staff, and/or class information.

How do we manage existing accounts and classes with Lexia’s Automated Import?

Data is maintained with subsequent imports.

Recommended for…
  • Districts that have student information systems, and who can invest the time in the initial setup process.

Option #2: Clever Secure Sync

How do we create new accounts and classes with Clever?

Clever Secure Sync ingests roster data from your SIS. You can choose which data you would like to sync with Clever: 1) students, 2) students and staff, or 3) students, staff, and classes.

How do we manage existing accounts and classes with Clever?

Clever Secure Sync monitors your roster information, and updates myLexia with any changes. New accounts, updated information, and changed enrollments are automatically sent to Lexia.

If you have existing staff and student data in myLexia, and you would like to start using Clever Secure Sync, Lexia Support will work with you to match existing myLexia accounts with Clever accounts.
