Plan Rostering Maintenance for a New School Year
Overview
As the current school year ends and you are preparing for the upcoming school year, it’s a good idea to coordinate with other admins in your school or district to plan the ideal time to perform rostering maintenance in myLexia. Typical rostering maintenance tasks include deleting unused classes, removing unused student and staff accounts, and promoting student grades.
Coordinating with other admins can help ensure that before anyone archives or deletes student accounts, clears class rosters, or resets student placement, everyone has had a chance to save student data and print achievement certificates from the current school year. Coordinating will also help avoid a scenario where multiple admins accidentally perform the same task (e.g., a school admin and a district admin both promote the same group of students).
If you are a myLexia district admin, planning rostering maintenance may involve working with other district admins and communicating with the school admins in your district.
If you are a school admin, planning rostering maintenance may involve communicating with your district admins and the other admins in your school.
Before you start any rostering maintenance, check these three things:

Does anyone still need to use Lexia?
Make sure students have completed using Lexia programs for the school year (including summer programs), and that staff, including classroom teachers, have had a chance to print or save this school year’s myLexia reports and achievement certificates for their students.
Have you exported data for the current school year?
Lexia recommends that you download and securely store a Monthly or Year-to-Date data export for future reference about student usage and progress for the current school year. See Export School or District Reports.
Core5 and PowerUp school and district exports, and the Lexia English school export include data from the current school year only. After the start of a new school year, data from previous school years will not be available in exports requested through myLexia. Check your site settings for school year start and end dates, and make sure to download this year’s export(s) before the start of the next school year.
Are you planning to reset student placement in Core5 or PowerUp?
Because Lexia programs address students’ individual needs based on their current skill levels through personalized scaffolding and support, Lexia does not automatically reset student placement in Core5 or PowerUp at the end of the school year.
You have the option to reset student placement so that your students will take auto placement when they return to school at the end of the summer. If you are planning on resetting placement, make sure to coordinate with other admins, and communicate your plan with teaching staff, so that they aren’t taken unawares by the change in student progress.

How to reset Student Accounts in myLexia
Resetting student placement permanently deletes all of the student’s performance data from the program history (their usage data is retained). If you plan to reset student placement for a large number of students, Lexia recommends that you export a snapshot of your data before resetting.
