Rostering Maintenance for sites that automate data

Overview

This document is for administrators who use Clever, ClassLink, or another method of automated imports, and who are carrying out rostering maintenance before a new school year. It describes what maintenance tasks you may need to complete in myLexia. For an overview on preparing for a new school year with Lexia, see: Preparing for a New School Year: Overview

Applies to: Educators and Administrators who have myLexia District Admin access, and some Educators and Administrators who have School Admin access to myLexia.

Does not Apply to: Staff who have myLexia School Admin accounts in a district site, or staff who have Teacher accounts or Read-Only accounts.

We use Clever, ClassLink, or automated imports. Do we still have to perform rostering maintenance in myLexia?

That depends! If you automate all data, then you should not need to do any rostering maintenance in myLexia. However, not all automated districts choose to automate class rostering or staff accounts in myLexia.

With automated imports, you have the option of syncing the following with your student information system (SIS):

  • Students only

  • Students and staff

  • Students, staff, and classes

To see which data types you currently import, see the Data to Import section of Settings > (Automated Import) Settings

Use the chart below to see what, if any, rostering tasks you need to do in myLexia, depending on what data you sync with Lexia.

*All accounts that sync with Lexia should roll over with your student information system (SIS). If anyone created exception accounts for staff or students during previous school years or over the summer, those accounts will not sync with your SIS. Read your nightly import summary once your SIS rolls over! This can help you spot any errors with students, staff, or classes so that you can resolve them before the start of the year.

Clever customers: If your sharing rules involve term-based classes/sections, review your sharing rules to make sure they are up-to-date for the following year's first term.

We don’t sync classes with our SIS. What rostering maintenance should we do in myLexia?

If you don’t sync classes with Lexia, you will need to do some or all of the following in myLexia before the start of the school year: 

  • Delete unused classes and/or clear class rosters

  • Create new classes

  • Add students to class rosters
