Archive, restore, and delete student accounts
Overview
This article describes how to archive, restore, and delete student accounts. Only school and district administrators are able to see the archive, and to archive, restore, and delete student accounts.
Some schools and districts use automated tools to sync the classes and students in myLexia with their Student Information System (SIS). If your school or district uses automated tools to sync students, students may be automatically archived or restored due to the sync. If you are not sure whether your school or district uses automated tools for rostering, check with your myLexia administrator.
Applies to: Educators and administrators who have School Admin or District Admin access to myLexia.
Does not apply to: Educators with Teacher or Read-Only access in myLexia.
Why would I need to archive a student account?
If a student is no longer using a Lexia program, but you want to keep a record of their account, you may choose to archive their account rather than delete it.
What happens when I archive a student?
If a student account is in the archive, the following is true:
The student does not use a license.
The student is not included in any class or school reports, such as Usage or Progress reports.
The student can not log in to Lexia programs.
The student is removed from their class, and is not visible from the Reading or Manage tabs.
The student’s program data is not deleted.
Please note that if you restore a student account from the archive, the student is not automatically placed into any classes they were previously rostered in. You will need to edit the class to add the student back.
How do I archive a student account?
Log in to your myLexia admin account.
Select the Manage tab.
Select the Students tab under the name of your school or district.
Use the search field in the upper left-hand corner of the screen to find a student by name or username.
Select the square to the left of the student’s name to select the student.
Select Archive.
How do I archive multiple student accounts?
Log in to your myLexia admin account.
Select the Manage tab.
Select the Students tab under the name of your school or district.
(Optional) Use the filter options at the top of each column to sort students by category—such as grade, class, school, program, or status. (For example, you might filter by all students with the status of "Not Started.")
In the resulting list, select the squares to the left of students' names. You can select one or multiple students. To select all of the currently-displayed students, select the square to the left of the header "Student Name" above the list of students.
Select Archive.
A dialog box will appear asking if you are sure you want to archive these students. Review the list of students before you select OK to confirm.
How do I restore student accounts that have been archived?
Log in to your myLexia admin account.
Select the Archive tab.
(Optional) Use the search bar to find students, or you can select the Filter option to filter the list of students by school, grade, etc.
Select students by selecting the square to the left of each student’s name. You can select one or multiple students. To select all of the currently-displayed students, select the square to the left of the header "Student Name" above the list of students.
Select Restore. Or, restore individual student accounts by selecting the restore icon on the far right of the student's row.
A dialog box will appear asking if you are sure you want to restore these students. Select OK to confirm and restore.
What happens after a student is restored from the archive?
When a student account is restored from the archive, the student will be able to log in to their assigned Lexia program, provided there is an available license.
Restoring an account does not automatically restore the student’s license. If there is a license available, and if the student has completed auto-placement, they will gain a license when they next log in.
Restored accounts will not be automatically put back in their classes. You will need to add the student back into their class.
After a student's account is restored from the archive, they will be able to continue using the program from the place where they were before the account was archived.
How do I permanently delete student accounts?
You need to archive student accounts before you can delete them. The delete button is only available from the Archive tab.
Deleting student accounts permanently deletes all of their Lexia history! Data cannot be recovered from a deleted account, and data from deleted accounts will not be included in any reports or exports. As a precaution, consider keeping your students in the archive for a period of time before deleting them, and printing or saving student reports before deleting a student.
After you have archived student accounts using the steps in the previous section, follow these steps to delete them:
Select the Archive tab.
As described above, use the search bar and/or the Filter button to find the student(s) you wish to delete.
Select students from the list by selecting the boxes next to their names. To select all of the currently-displayed students, select the square to the left of the header "Student Name" above the list of students.
Select Delete (You can also delete individual student accounts by selecting the trash can icon on the far right of the student's row).
A dialog box will appear asking if you are sure you want to delete these students. Carefully review this list. There is no “undo” button!
Select OK to confirm and permanently delete.
A student keeps getting archived or restored and I don’t know why!
If your school or district uses an automated tool to sync students in myLexia with your Student Information System (SIS), students may be automatically archived or restored due to the sync.
Students may be archived in myLexia with each sync if their accounts are not included in the nightly upload, or if there is an error with their username or Ref ID.
Archived students in myLexia may be restored if their accounts are included in the nightly upload.
If you are not sure whether your school or district uses automated tools for rostering, check with your myLexia administrator.
